    What You'll Do/Need

    Position Summary:

    The Executive Assistant has high-level administrative expertise and a willingness to pitch in and do what's needed in a dynamic, fast-paced environment. Helping to make the team more effective and efficient is their primary responsibility. Flexibility, a sense of urgency and attention to detail are critical success factors.

     

    Position Responsibilities:

    • Manage email by drafting responses on behalf of the COO, clearing out junk email and distributing to other team members as necessary
    • Manage correspondence for meetings, preparation of background briefings, note documentation and periodic reporting activities
    • Manage schedule and calendar, including workflow planning and calendar coordination, prioritize meeting requests
    • Prepare ad hoc reports, presentations, documents and other correspondence
    • Maintain correspondence with internal and external contacts, and the distribution of documents
    • Prepare and distribute reports and correspondence
    • Prepare presentation materials at an executive level
    • Prepare folders/organization process in order to make each day smooth and efficient
    • Make personal and business travel arrangements, including the creation of itineraries, air and hotel accommodations
    • Perform other administrative tasks as needed, including errands and some personal support 

    Position Requirements:

    • 4 years of experience of executive-level support
    • Advanced skills in the Microsoft Office suite
    • Ability to multitask and prioritize
    • Strong organizational skills
    • Excellent communication skills
    • Ability to maintain confidentiality
    • Possess self-confidence, sensitivity, tact
    • Good attendance and ability to work long hours as needed
