    What You'll Do/Need

    Position Summary:

    The Lease Administrator abstracts lease summary information for all new leases, lease renewals and temporary leases, recording such information in Yardi Voyager and maintaining all related backup. This team member assists in resolving any discrepancies in tenants’ rent accounts via telephone conversations and written correspondence with property managers and their assistants. This team member also interacts with the Finance, Operations and Leasing teams on all items that would directly affect the accounting or financial reporting of tenant activity.

     

    Position Responsibilities:

    • Extract information from leases and amendments and ensure they are entered into Yardi accurately and completely
    • Review lease files for accuracy on a periodic basis
    • Perform account reconciliations and final accounting adjustments on terminated and/or vacated tenants
    • Respond and produce any information requested during tenant audits
    • Maintain the filing of all tenant-related information
    • Run vacancy and lease expiration reports and review and distribute them accordingly
    • Receive and record monthly sales reports from tenants
    • Maintain all percentage rent information
    • Calculate monthly, quarterly and annual percentage rent due from tenants
    • Prepare and deliver percentage rent billings to tenants
    • Calculate leasing commissions and submit them for payment approval
    • Work with staff accountants to set up tenants of newly acquired properties and ensure correct booking of closing monies and balances brought over
    • Review payment schedules and lease commencement letters for new tenants and renewals, etc.
    • Communicate to company leasing activity, including new leases, amendments, move-outs and renewals
    • Maintain the Family of Companies lease/sublease summary spreadsheet monthly
    • Distribute the Family of Companies lease summary spreadsheet each month to designated recipients

    Position Requirements:

    • Undergraduate degree in accounting
    • 1 year of previous real estate experience
    • Good working knowledge of all accounting software packages
    • Excellent analytical, organizational and critical thinking skills
    • Strong attention to detail
    • Experience working with all levels of management
    • Strong written and verbal communication skills
    • Proficiency in Microsoft Excel and Word
    • Independently driven and self-motivated mindset
