The Team

The Bedrock Transportation Parking Logistics (TPL) Team is responsible for fulfilling and overseeing all of the parking and transportation needs for Bedrock tenants. The TPL team specializes in three areas; Client Experience, Transportation, and Logistics. Our Client Experience Ambassadors (CEAs) are front line defenders for the team. This group is staffed 24/365, averaging 500+ parking intercom calls per day. The Transportation Team is responsible for moving approximately 4,000 riders per day and overseeing a complex shuttle network that connects our parking facilities to our buildings. The Logistics Team is responsible for managing approximately 22,000 parking spaces among 30 properties.  We strive to maximize our assets by increasing utilization where possible, while providing parking to not only our tenants but other monthly and daily parkers outside of our portfolio.

As an Executive Assistant, you will support the Vice President of Parking Operations and your areas of responsibility will include: scheduling and coordinating meetings, projects and general business support for the Detroit focused team. What You'll Do/Need

What you’ll do

  • Support the VP of Parking Operations
  • Process and organize high volume of internal and external communication which includes mail, email and voicemail
  • Control calendars to include travel, meeting schedules, and appointments
  • Coordinate logistics and prepare materials for meetings, calls and events
  • Interact and maintain a positive working relationship among all levels of internal team members and outside clients
  • Organize and maintain documents and electronic files
  • Create, revise and edit written material as needed
  • Order supplies, equipment and other needs for the team
  • Plan and follow up on business details
  • Complete expense reports, reconcile statements, monitor and control expenses
  • Perform other duties and special projects, as directed
  • Serve as the positive first impression to outside clients and organizations

What you’ll need       

  • Excellent listening, organizational and communication skills
  • Strong attention to detail and high sense of urgency
  • Able to successfully perform in a fast-paced and changing environment
  • Strong ability to multi-task and juggle multiple responsibilities while maintaining a positive enthusiastic attitude
  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint, and is comfortable with using technology
  • Internet search function experience
  • Self-motivator who can work with minimal instructions/supervision at all times
  • Enjoys administrative work
  • Ability to efficiently plan, organize and implement work priorities
  • Ability to anticipate needs and act proactively
  • Patience and a good sense of humor
  • Proven ability to perform a variety of critical and often confidential tasks
  • Flexible schedule; occasional late hours as needed
  • Two to four years of Executive or Administrative experience
  • Proven ability to perform a variety of critical and often confidential tasks
